“If you fail to plan, you plan to fail”

This dictum is very much true in the events industry. Actually, we knock our heads to the wall just to create a complete plan that delivers the client needs. So, I am crafting here the basics to help you win the battle in terms of creating a plan.

After the client and you, as the event manager or event planner agreed on what are the objectives of the event, the next best thing to do is plan on how to make the event become a reality.

I read a lot of books and some are very complicated requiring a lot of metrics. Not that I do not concur with their ideas but there is a simple and easier way to plan an event.

First breakdown the plan into three parts: the three parts are pre-event, actual event, and post event.

I. The Pre Event

Pre Event basically contains the following (you can add depending on the complications of your event)-

Operations include your organization and their tasks
Staging and Stage Management include sounds, lights, avp, script, directors
Program include speakers, program, script,
Venue include venue contact, venue arrangement, food, ingress, rules and regulations
Registration include the visitor or attendee lists or directory, I.D., loot bag, event kit,
Documentation include photo, video and collaterals collection
If Sales and Marketing is included in the agreement include sales collateral, promotion plan, contracts

II. Actual Event

Review the Operations Organizational Chart must include Operations Head, Program Head, Registration Head, Exhibit Head, Speaker Handlers; Stage Management Head included here are the Directors of the different technical needs of the even
Execute the plan or the Daily Run Sheet.

III. Post Event

Terminal Report
Photo and Video Documentation
Assessment Meeting with the Client

As you can see this blueprint is just the basics and depending on your event you may add or delete some portions. But just to serve as a springboard this plan is best for conferences or corporate event.

Again, the most important part in creating an event plan is to answer the question “How will I achieve the client’s objectives”. After that, break your plan into the three most important parts which are mentioned above.

The Truth About Being An Event Professional | Event Management Philippines

Every day I receive a lot of applications and every week I conduct interviews for prospective new members of our organization.

I always include the question “Why do you want to be in the events industry?” and most of the times their answer is that the event industry is a fun industry. After this answer I make a follow-up question “Yes its fun but are you aware of the hard work it demands for us to create a fun and great event?” This second question almost always illicit a blank stare.

A large number of applicants grapple to answer this question. It seems that all they have in mind is the fun and entertainment side of the event. It seems they always place their role when judging the industry as the audience or user of the events. When in fact, as part of the industry they will be the service provider of making the audience or user of the events experience the fun and entertainment they have experienced in attending past events.

Indeed, the truth is that events are fun and some events are entertaining. But there are a lot of events that are created to achieve an objective other than to make it fun and entertaining. And as events professional, we must be prepared to deliver objectives that clients asked us to achieve - most especially, if the objectives are reasonable.

In fact, that is what I advice all of those aspiring to be part of the events industry. As events professional, we are tasked to create an event that meets the objectives of the client often times in the middle of the back draft where scarcity of resources and time are two of our constant companions.

These two companions can shake our spirit and make us lose our focus and bow to pressure, but we are professionals who must battle these two companions until the actual implementation of the event. In the end, hard working and creative event professionals earn the smile and accolades of the clients for an excellent job which is a byproduct of sleepless nights and a lot of near bouts with nervous breakdowns.

Of course, for some sleepless nights and bouts with nervousness are taken as an adrenaline rush savored like the steaming hot coffee in your table.

Events industry is about hard work and creativity. Only those with the passion to be in this industry can withstand the constant pressures. Only those that embrace the challenges that knock everyday at the door of an events company can comprehend the fun part that this industry offers.

So to those who are planning to apply to our organization, you already know how to answer me back once I throw the two questions to you. But even if you answer these two questions that does not guarantee you are in. I guess that is another matter reserved for another discussion.

Do you have to be rich to get happiness? No. Perhaps an easier way to grow wealth would be to adopt a smart way to check expenses. Derive your own goal-setting techniques and focus all you need to make to increase savings. There are no hard a fast rules, but a sincere attempt done consistently will work wonders over a time. Patients, organizing yourself, sensible spending, minimizing debts, power of reviewing past expenses to find unwanted or avoidable expenditure are the key to grow wealth systematically. The results are very encouraging.

If you are poor, a little more money can give you everlasting happiness. In a country that is economically growing, if you have a place to live with ceiling fan to beat the heat it sounds satisfying. On the other hand, if all your basic needs fulfilled, then more money necessarily cannot buy more happiness. You are certainly robbed of all the happiness that you are longing.

The truth is that you have better control over your finances; you have less money stress in life. Obviously, no stress means happy living. The secret is that if you have full control over your investments, you can choose to save money. Saving your money at time when you have good earnings can reap benefits at times of hardships. You need not have to beg or borrow with anyone. This is the biggest drudgery.

Following are the basic six steps that help to grow wealth.

1. Organize yourself

You do not need any advanced tool or a professional to support you. All you need a sort of system that is simpler to work with and check. Let it be a system that flashes you the moment anything goes out of your control. Concentrate on the four basics Income, Expenditure, Debts and Savings.

2. Sensible Spending

If you have trouble living within your means, you need to identify the expenses that pinch your pocket the most. Simply scan through your last months expenses. Perform a Paeroto analysis (80: 20 Principles) "Twenty percent of the items that give 80 percent of the total cost by value". This is a principle to prioritize your focus on the cost.

3. Minimize Debt.

In today's economy, affording a house, or planning for a renovation in the house has become a dream. One needs to depend on loans. Borrowings managed based on your re-paying capacity. Find out suitable avenues that fit in your capacity.

4. Earmark 15 percent to 20 percent for your monthly savings of your income.

The moment you start saving money, you tend to have a total control on your financial issues. You automatically start driving yourself to divide a portion of your income towards savings account.

5. Sincere Goal setting

The first step to get what you want in life is to decide what you want. Visualizing what you want is the key to goal setting. The more practical you are in-goal setting the more the chances of achieving your targets. Please bear in mind that along with goal setting you need also plan a road map to achieve them.

6. Learn to be content with what you have.

Trick to this is to browse through your achievements periodically. This will give you encouragements to do more. Set your mind with least needs for contentment.

Most people believe that money buys happiness, independence, security and status. However, the irony is that these people have given money the power to control them. As a result, these people keep wanting more and losing control on the spending.

The best way to take control on your spending is to adopt good practice of planning, organizing and saving.

Customer Loyalty Rewards Program - A Way to Increase Revenue | Loyalty

The other day I went to Costco to replenish several items in our home. As I was checking out the cashier called someone over who pulled up my purchase records. Turns out that if I upgraded my membership I could earn money back on my purchases; enough to more than pay for the upgrade. Why not?

Now why would they offer to give me money back on my regular purchases? Because they know that now I will choose Costco over the grocery store or another discount warehouse. They increase their volume without advertising or marketing. This is a customer loyalty/reward program that works. It effectively costs them nothing and they’ve increased the odds that their current clients will buy more.

Panera Bread Bakery-Cafes had a loyalty/reward program where you could get a free cup of coffee after the purchase of ten cups. They had to discontinue the program because someone created counterfeit cards and offered them on the internet.

So, what can we learn from these examples? First, it’s a great idea to offer a customer loyalty/reward program. It’s less costly to keep current clients than it is to find new ones. Add to that the idea that you should try to capture all of the business you can get from your current clients and you’ve got the foundation for a loyalty program.

Second, make sure it’s something easy to implement and explain. If it’s too complicated no one will use it because they won’t understand it. Moreover, you don’t want to create a plan that is costly.

Third, create a program that can’t be hi-jacked. Consider the Panera example. The loyalty card was too easy to duplicate so someone did. Unfortunately, there are unscrupulous people out there.

Interestingly, participation in loyalty/reward programs is up in this recession. According to Colloquy research,

“U.S. consumer participation in rewards programs is on the rise across all demographic segments, . . . Consumers are leaning on loyalty programs to stretch household budgets further by earning rewards for their purchases.”

What does this tell us? That using loyalty/reward programs can be an effective strategy for increasing revenues even in a recession.

Beyond the lessons learned from the examples above is the understanding that in order to have customer loyalty you must provide an excellent client experience. It will do you no good to have a program if your product, service, and/or customer service is sub-par. Think about it. If the experience isn’t good there isn’t a program in the world that is going to keep clients coming back for more. So, in reality, customer loyalty/reward programs begin with customer service.

Before considering implementing a loyalty/reward program, do a quick reality check. Do you have something that your clients need, want, and like to come to you for? Do you provide outstanding customer service? If the answers are yes, then you can devise a loyalty/reward program that is solid and effective.

Provide outstanding customer service, have a quality product or service, and tack on an attractive program. Using this strategy, you will be able to not only penetrate your current clients, but retain them over the long term. Even in a recession, you CAN increase your revenue using customer loyalty/reward programs.
