Tradeshow participation is proven to build brand awareness and help marketers discover new business opportunities. But the companies that fare the best—and maximize their return on investment (ROI)—are those that realize that simply showing up isn't enough.



This article outlines how to build a communications strategy that keeps customers and prospects fully engaged before, during, and after the show.



1. Plan in advance



The first step toward tradeshow success is creating an engagement timeline to support your company's strategic marketing plan.



It's also important to link all forms of communication (advertising, online marketing, media relations, public relations) together to achieve an action-oriented goal. Make sure your messaging aligns with your overall marketing strategy and clearly explains how your products or services can benefit customers and prospects. Value-added information, such as research data or company news that will help recipients solve a specific business challenge, is also helpful.

The key is to make sure communications are free of self-serving propaganda that could alienate customers and prospects.


2. Build quality traffic

Having a tradeshow exhibit doesn't necessarily ensure quality foot traffic. Engage customers and prospects well in advance of any event, and make it clear how they stand to benefit from visiting your booth. Incentives can include special show pricing, access to exclusive research or information, or an in-booth gift (or other giveaway) that provides a meaningful experience to prospects.

Promote these incentives well ahead of time through direct mail or email and on your website, or co-promote with the tradeshow organizer to help boost traffic to your booth and buzz around your participation.

When planning a pre-show marketing strategy, ensure that the communication channels you choose are appropriate for your audience and industry. For example, if your target audience is young designers, then use social media, video, and email. For targets such as manufacturing plant personnel, who are often away from their computers, consider traditional approaches such as direct mail or print advertising.

3. Engage on-site

To effectively engage and interact with show attendees, invest the time and effort to train your on-site staff. Be sure to underscore how much you've invested into the show, and explain that staff performance will have a significant impact on its overall success. Ask for a personal commitment from all staff to reach preset sales goals. If necessary, go as far as breaking down costs by the minute, per person. Consider using an incentive program to encourage your sales team to attain your goals.

During the training process, clearly articulate the criteria your sales team should use to qualify visitors and determine whether they are high-quality leads. Give the sales staff tips on how to disengage with unqualified visitors politely, but quickly.

To prepare, practice engaging various visitors; time the interactions to test efficiency. In addition, provide the staff with a list of key customers and prospects, along with protocol guidelines for ensuring a smooth process when VIPs show up.


4. Follow up

Communication with customers and prospects shouldn't end when the tradeshow closes its doors. The show itself may be just the starting point of the sale, which could happen months later.

To ease follow-up, be sure to annotate the leads (list the actions you need to take) and rate them based on your sales and closing criteria to ensure the "hottest" leads get immediate attention. That could mean providing a quote or the additional information the prospect requested, or saying a simple "thank you" to those who aren't ready to buy your product or service just yet.


All of your contacts should be organized into a centralized database (segregated by type, if needed) to facilitate regular, ongoing communication. Use the database to share company announcements, media mentions, or relevant news to show that you're engaged with their business. And remember: Never ignore a lead. You never know who will turn out to be the most beneficial connection.

The increased arrival of foreigners in our ports and international flights last 2010 augurs well for our 2011.


It means there is confidence in our country. Now that simple but essential steps are being taken by the government, the outside world is taking notice.

The 3.45 Million foreigners that enter our main ports and the 6.4% or 3.59 Million passengers in our International Flights are indicative of a rosy year for us in 2011.

So what now?

I think that speaking in the exhibition and convention industry; we must make well and increase our events this year. Also, I read some interesting new products created by new organizers in the exhibition and convention industry; I pray that they become successful.

In our office, busyness is very prevalent. The skills of the members are also up a notch. Therefore we are ready to grab the opportunities and even create opportunities out of the positive things that are slowly taking shape in our country.

The recent Boracay controversy where a foreign couple was videotaped copulating in the beach is something that we should all be alarmed.


Yes, we wanted to increase our tourist visitors. We also acknowledge that Boracay is the most famous tourism spot in our country that it generates 650,000 tourists a year or about 22 percent of the total visitor traffic of the country. However, the disrespect to public sensibilities and moral values that our country upholds must be over economics. I fear the day that we have achieved economic progress but lost our souls.

In the theory of broken windows, practiced and made famous by then New York Mayor Rudy Giuliani. A small wrongdoing not corrected will become a monster as time goes by. What Guiliani did was correct it immediately like repairing and apprehending people who broke window glass in an area in New York. When the public saw that there is police enforcement and broken windows are repaired immediately, the perpetrators suddenly disappeared and peace and order was restored in that particular area.

I say we do the same in this Boracay incident, act quickly and make strict enforcement of no sex on the beach rule. There are more important things that economic growth that is living decently.

It is good news that the “Pocket Open Skies” Policy is on full swing. The policy will most probably  take place in NAIA in Pasay City, Laoag International Airport (Ilocos) , Diosdado Macapagal International Airport (Clark, Pampanga), Puerto Princesa International Airport (Palawan), Subic Bay International Airport, Kalibo International Airport (Aklan), Mactan International Airport (Cebu), Davao, General Santos, and Zamboanga.


The effect as said by the proponents is more direct flights from International Carriers straight to those above mentioned local airports.

This action will hopefully increased tourists arrival, lower airfares (not that it has not gone down through the years) and improvement on services offered by airlines to the passengers (this I am keeping my fingers crossed).

A packed exhibition

The government plans to attract 3.3 Million tourist visitors in the country this year. Compared to Thailand, Singapore and Malaysia the target we set is small. However, since we are starting with a new administration and the issue of continuity is always a problem in our government I can say that the target is a decent one.


Now, if we are to focus on the 3.3 Million visitors I would suggest that we go for businessmen and investors to be the large chunk of this pie. These two segments can greatly benefit our economy because they have the spending power.

If all of us agree on this, the question now is how do we achieve it?

I say we must do big changes in our peace and order and promote to the world that it is safe here. Second, we must support our MICE industry. Let us create mega learning conventions and mega expositions. Last but not the least; let us focus on the first A in the 5As of Tourism that is ACCESS. We must open NAIA 3 for International Travel and eliminate all unnecessary taxes that make travelling in our country more expensive than going out of than going out of the country. Our secretary of tourism promotes Open Skies and hopefully the positive things about this policy will redound immediately.

3.3 Million Tourists for this year will be meaningful to our country they are quality tourists. It is time for a fresh start; let us cross our fingers for our country.

The smoke of the revelry welcoming the New Year has settled. The big tasks of making things a reality lies in our hand. In the events management, particularly exhibition the task of creating and offering a new and improved products start.


It is a difficult process. Even though there are available data of the past performances. The event management team must again come together and allow the creative juices flow in order to create something from without and assure that there is value on what was created.

Also, the exhibition team must consider the 3 Cs in crafting the new trade event. The 3 Cs are the Company, Client, and Competitor. This three dynamic elements changes and an near accurate reading of this 3 elements is critical in determining the success of the expo.

As an event’s organizer, I am very positive that this year is a good albeit challenging year. I see that new players will emerge and new concepts will be launch. But that is life and as organizers all we can do is to better ourselves and compete with ourselves the only competition that we must strive to seriously taken on.

Last November 23, 2010 the Final Technical Meeting for the upcoming Philippine Physical Therapist Association (PPTA) National Convention, slated December 4-5, at Traders Hotel Pasay, was conducted.


It is a fun exercise.

The meeting is fun in the sense that all the planning that everyone discussed and agreed upon is already coming to its end – and boy an end that everybody is very excited about.

It is a dry run.

The meeting is a dry run of all the details things that must never be overlooked. All the salient points that must be noted and delivered during the actual event are discussed and re-discussed.

The final meeting for the PPTA working group took place in Traders Hotel and we are just very happy to be part of it, all the hard work is slowly in its final finishing touches ensuring that SUCCESS is not a distant dream but a reality that is about to happen this week.

Today’s tourism congress only validated the impact that tourism industry can do to eradicate poverty in our country.


In the report given by Ms. Ma. Cherry Lynn Rodolfo, Economist, University of Asia and Pacific she reiterated the MULTIPLIER EFFECT of tourism to 2.5% per tourist that visits our country.

Mr. Khoo Swee Chiow, one of the speakers in the congress shared his testimony of how beautiful the Philippines is. He is a Singaporean who toured the Philippines by using kayak. He showed different pictures and the audience in the tourism congress is in awe.

There is so much to be done in order to realize this potential which we have been harping around for so many years and to different government regime that led this country. Sadly, the movement forward is nowhere to be seen.

Senator Dick Gordon made a very interesting point when he said in this important gathering, “ Lahat tayo ay magagaling, ang problema lahat tayo ay magagaling”.

How times fly, literally! We were just planning it last January. We are planning how to make the once one hall event into two halls. We are planning with trepidation and excitement the increase number of exhibitors that we will accommodate and invite.


Hardwork.

I like December.


More than the holiday season where the streets turned to twinkling stars because of the Christmas lights, there is something that is always happening BIGTIME in EXLINK.

Of course, I am talking about the events that we are producing, organizing and managing. It seems that the projects that we are handling happens hand-in-hand with the hustle and bustle of the season. There is this gait that every member of the organization makes. A certain energy that gives you the feeling that we are about to make things happen.

If you are in events, every day we always make things happen. As if we are miracle workers. We create in our minds the idea of how and what shape an event will be formed. After that, we work hard (physical work) to ensure that the shape that we conceived for and event takes place – that is called simply as EXCECUTION.

 Much have been said to the Run for Pasig event, all of them positive things. Still, I want to share my thoughts on this very inspiring and important event in our country. Run for Pasig shows that we will and can revive the long lost romantic tales of Pasig River. But more importantly, it shows and bears the heart of the Filipinos.
We are a country that is slowly reaching maturity on moving forward social issues. We are a country the is comprised of people who love our environment and our homeland.

Eclipsing a Guiness Book of Record is not the main highlight of this feat. The highlight is that we want you, the world who loves following us Filipinos, to know that our country is one country you will LOVE to Visit. It is a country where the people are fun loving and friendly to a fault.

I don’t know if I will be flattered. Google selected exlinkevents as one of the beneficiary for a free adwords advertising. I know this will be beneficial for www.exlinkevents.com or to www.megabalikbayanofwexpo.com.ph. But the deeper issue is how new media like Google is trying to penetrate its market thru direct mail – a traditional form of promotion.

It only goes to show that like any products or services, we need to maximize the available marketing tools in order to attract our market.

Therefore, in light of what I experienced I can say that the competition for all forms of media is fun and the rules is that there is no rules, it is like saying may the best imagination wins.

Last time I saw him in the Makati Medical City he can barely speak. However, the humour is still there. But seeing him one can sense the he has a bigger battle inside him. A battle that even his jovial personality is being torn bit by bit.

I was given a chance to hold his hand in our visit to the hospital, him being one of my idols, higher ups in the Entrepreneurs Society of the Philippines; I said to myself he can still win the battle he has inside his body. I can feel it; the energy that allowed him to propel Center for Pop Music is very much present during that moment.

Months later, I and my wife sometimes unconsciously talk about him, and we are happy to know that the last time we have heard about him he was on his way to recovery.

Therefore, it was a bit of a shock that yesterday my wife received a text telling that he joined our Lord at about 2am.fur

It is a sad story to add to two sad stories that we have received last week about close people we know having lost their love ones, also joining our Lord.

Indeed, death is so common that even if we have accepted it we are still in shock and we still feel the pain of the lost that it inflicts upon us.

I lost an elder who talks to me like I am his kumpare. Every time we see each other we will crack jokes, both of us having that gift of spontaneity always come up of mundane things to laugh about. Humour indeed was his best gift that I enjoyed and bask at experiencing his gift every time I am given a chance.

But most importantly, as an entrepreneur he serves as an inspiration to me and my wife to spread our wings higher and further.

His legacy in bringing music training as a successful business is one for the books. Honestly, I do not know him that much. But for the time that we have been together he has touched my heart. For that, I will always be eternally thankful.

The first Tree500 Movement tree planting activity in Barangay Calawis, Marikina Watershed, Antipolo City

I was zapping my remote control for T.V. at a frantic pace when I stumble with Disney Channel showing WALL-E, I watched it in the cinema with my family and watched it in DVD and yet here I am glued in the T.V. screen watching the movie for the 3rd time.


Why? You see I cannot help but fall in love with the love story of WALL-E and EVE. It is a relaxing love story. Second and most importantly, the story is about humans stranded in the outer space because the Earth is not liveable anymore.

In the story, humans have become lazy and fat because they have forgotten how to use their limbs resulting to atrophy of sorts. Also, humans are controlled by a supercomputer that is programmed to prevent them from going back to Earth.

I like the scene where the plant in a can is the key for the spaceship to be programmed back to Earth. It shows how important are plants and trees in our world. It shows how plants and trees is the most effective measure that Earth is liveable. The plants and trees disappearing spell humanity’s end. I know we all don’t want this to happen.

So having enjoyed WALL-E allow me to invite you to the second run of Tree500 Movement’s Tree Planting Activity this coming October 23,2010 at Barangay Calawis, Marikina Watershed, Antipolo City.

Tree500 Movement is an organization that aims to plant a minimum of 500 trees in every tree planting activity it conducts. It is also a tree planting activity that has a line-up of interesting activities other than tree planting (e.g. nature awareness orientation).

Right now, the focus of the movement is to increase bamboo tree in all riverbeds of the Marikina Watershed. Most especially, near the bridges of the communities residing around the watershed. It is said that bamboo trees are the most effective deterrent to soil erosion. Also, when it grows its roots spread as far as six meters and, since it is identified as related to grass, a single bamboo tree can produce many sub trunks forming a bigger and wider bamboo tree in its mature age.

I know I have said too much but I can’t help my excitement because the first tree planting activity was just last month and here we are again.
